2. What we collect and how
| When | What we collect |
|---|---|
| Quote request form | Your name, phone number, email address (optional), town or area, approximate TV size and wall width, the package you're interested in, your message, and a record that you agreed to this policy. The form does not store anything on our website: it opens your own email app (or WhatsApp, if you choose) with your details filled in, and you send it to us. |
| Phone calls, emails and WhatsApp messages | Your contact details, what you tell us about your project, and any photos or videos of your room you choose to send. |
| Home measure and quote | Your address, room measurements, photos of the wall and our notes, so we can design and price your media wall. |
| Orders and installs | Your name, address, contact details, what you've ordered, your install date, payment records (we don't keep full card numbers) and any signed customer agreement. |
| Showroom appointments | If you book through our online booking page, SumUp collects your name, contact details and appointment time and passes them to us. SumUp's own privacy policy also applies. |
| Media wall planner | The choices you make in the planner stay in your browser and are not sent to us unless you tell us about your design. The planner remembers that you entered the access code until you close the browser tab. |
| Cookies and similar technologies | Your cookie choice. See our cookie policy. |
| Website chat (only if you choose to use it) | Your IP address and the messages and contact details you type into the chat. The chat is provided by tawk.to, and our team can read it and reply. It only loads if you allow it in the cookie settings. |
| Website hosting | When the website is live, our hosting provider may keep standard server logs (such as IP address, browser type and pages requested) for security and to keep the site running. Host: tawk.to (which provides the website chat, only if you choose to use it), Krystal (krystal.io), a UK web hosting company. |
We don't ask for special category information (such as health details). Please don't include it in messages unless it's needed, for example if someone in the home needs us to make an adjustment on fitting day.
3. Why we use it and our lawful basis
| Purpose | Lawful basis (UK GDPR Article 6) |
|---|---|
| Replying to your enquiry, measuring up and preparing a quote | Steps you've asked us to take before entering into a contract |
| Designing, supplying and fitting your media wall, arranging dates and taking payment | Performance of our contract with you |
| Keeping accounting and tax records | Legal obligation |
| Handling complaints, guarantee claims and legal claims; keeping our business and website secure | Our legitimate interests |
| Using photos of your finished wall on our website or social media | Your consent (you can say no, and you can withdraw it later) |
| Sending you offers or news | Your consent. We only send marketing if you've asked for it, and every message tells you how to stop it. |
| Loading optional embedded content such as the Google map and the website chat | Your consent, given through our cookie settings |
4. Who we share it with
We never sell your personal information. We only share it where needed with:
- Service providers who help us run the business, such as our email provider, job management software and website host. These are Krystal (krystal.io, our UK web host, which also provides our business email) and Tradify (our job management software)
- Our external accountant, who keeps our books and handles our invoice and payment records
- SumUp, if you book a showroom appointment through our booking page
- WhatsApp (Meta), if you choose to contact us by WhatsApp
- A qualified electrician or other trusted tradesperson, if your job needs one, so they can contact you and do the work
- HMRC, insurers, legal advisers, or the police or courts where the law requires it
5. International transfers
Some of our providers (for example WhatsApp, Google and email providers) may store or process data outside the UK. Where they do, we rely on the safeguards the law allows, such as UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.
6. How long we keep it
- Enquiries and quotes that don't go ahead: up to 12 months after our last contact, then deleted.
- Customer and job records, invoices and payments: 6 years from the end of the financial year they relate to, to meet tax and company law requirements and to deal with any guarantee or legal claim.
- Photos used with your consent: until you ask us to stop using them (we can't recall posts other people have already shared).
- Cookie choice: stored in your browser for 12 months.
7. Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that's wrong or incomplete;
- ask us to delete your information, where we don't need to keep it;
- ask us to restrict how we use it, or object to us using it based on our legitimate interests;
- ask for information you gave us in a portable format;
- withdraw your consent at any time, where we rely on consent (this doesn't affect anything we did before you withdrew it).
To use any of these rights, email info@huttonmediawalls.co.uk or call 07521 575963. We'll reply within one month. There's normally no charge.
8. Complaints
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.
